Job description

Role Overview

The Payroll & Administration Officer is responsible for managing weekly and monthly payroll processes, ensuring accurate and timely payments to employees, and maintaining compliance with statutory requirements. This role also involves supporting administrative tasks related to employee records, reporting, and annual submissions.

Key Responsibilities

Weekly Payroll (Long Whatton & I-Beam – approx. 120 employees)

  • Collect and verify employee time recordings against individual shift patterns.
  • Calculate overtime, absences, holidays, and parental leave.
  • Process payroll using Sage 50 Payroll Professional.
  • Generate payroll reports and HMRC submissions.
  • Prepare banking files for payment by Tuesday each week.

Weekly Administration

  • Identify and report issues such as missed clock-ins or absence concerns.
  • Produce statutory sick pay summaries and boot allowance records.
  • File payroll-related paperwork and input weekly journal entries.
  • Generate overtime reports and maintain time and attendance records.
  • Submit pension contributions.

Monthly Administration

  • Produce CIS reporting and update HMRC spreadsheets for PAYE and NI reconciliation.
  • Generate DoE payment summaries and calculate holiday average valuations.

Annual Requirements

  • Complete year-end processes for Sage and HMRC.
  • Prepare Gender Pay Gap reports and update Apprenticeship Levy values.

Monthly Payroll (All Branches – approx. 60 employees)

  • Compile weekly summaries for branch employees, including overtime and absences.
  • Prepare monthly reporting summaries and highlight adjustments.
  • Liaise with external payroll provider (Byte) for monthly salaries, resolve queries, and authorise payroll files.
  • Check payslips and post monthly salary journals.

Additional Responsibilities

  • Support annual review documentation and departmental budget estimates.
  • Assist with holiday accrual calculations and insurance documentation (Death in Service, Accidental Cover).
  • Contribute to Gender Pay Gap reporting and compliance activities.
